Seven places growing businesses overpay without noticing

Most overspending is not a single bad decision. It is a contract that renewed on autopilot, a line nobody canceled or a surcharge that crept onto an invoice. Here are seven places to look first.

1. Contracts that renewed automatically

Many service agreements renew for another full term unless you give notice within a narrow window, often with a built-in price increase. Keep a list of renewal and notice dates for your largest vendors.

2. Phone lines and circuits nobody uses

Fax lines, alarm lines, old data circuits and wireless devices for former employees often keep billing for years. Match every line on your telecom invoices to something you actually use.

3. The wrong utility rate

Utilities offer different rate classes based on how a site uses energy. When operations change, the rate often doesn't. A mismatch can mean paying more every month without any error showing up on the bill.

4. Freight surcharges

Residential delivery fees, address corrections, liftgate charges and fuel surcharges add up. Carriers also offer service guarantees that are rarely claimed when shipments arrive late.

5. Card processing markups

Interchange is set by the card networks, but the markup your processor adds is negotiable. Tiered pricing and add-on fees can make the real cost hard to see. Read our guide to card fees.

6. Software seats and duplicate tools

Subscriptions are easy to add and easy to forget. Review who has a license, who actually logs in, and where two departments pay for tools that do the same job.

7. Insurance classifications

Workers' compensation premiums depend on how payroll is classified. If roles are assigned to the wrong class code, premiums can be higher than they should be. Review classifications with your broker each year.

Where to start

Pull three months of invoices for your five largest recurring expenses and read every line. If that is not a good use of your time, it is exactly what we do, and we only get paid if we find savings.
